HOURS: 35 hours per week (Monday-Friday, with occasional evening and/or weekend hours)

We create skills development opportunities for immigrants and refugees to access and fully participate in the workplace and wider community. As one of the leading holistic service providers in our sector, Skills for Change offers more than 25 programs and services, and annually serves 16,000 people who are newcomers, immigrants, and equity-seeking groups in services around employment, integration, mental health, leadership, entrepreneurship, and more.

PROGRAM NATURE AND SCOPE:

The Supervisor – Grants Administration will manage the lifecycle of the grants process including the day-to-day responsibilities, like tracking funding opportunities, coordinating with program teams, and supporting the program design process. This role is a crucial part of Skills for Change’s sustainability plan as it will be the go-to source for program- and project-specific funding proposal information and coordination of activities. The role includes project management and coordination of activities that entail idea generation, building cost and staffing models, creating, and maintaining core foundational materials for proposal writing, and keeping an overarching view on program objectives and funding opportunities. The Supervisor – Grants Administration may also take on key time-bound projects to support Skills for Change across work streams in collaboration with the Manager, Program Design and/or CEO or to support other Program Managers/Directors leading certain efforts.

The ideal candidate has:

  • Knowledge of the non-profit funding environment – its current challenges, opportunities, and trends – in Ontario and across Canada.

  • Experience in written communication – including editing and creating concise explanations of complex materials.

  • Experience in managing multiple projects, expanding programs, and enhancing the quality of existing programs.

  • Excellent coordination and project management skills to keep key projects on track and flag any diversions with right people within the organization

  • Experience in identifying and coordinating innovative program proposals, strategic alliances and relationships both in the private and public sectors through secondary Research.

  • Ability to work effectively with others at varying levels of an organization and to consistently display a high level of professionalism in all interactions including experience with maintaining confidentiality as needed

  • In-depth computer skills in Google and Microsoft Office Suite.

Specific Accountabilities

  • Manage the overall lifecycle of the grants process including supervising the day-to-day activities of the Program Design department – specifically the Master Grants Tracker and the pipeline of all upcoming Grants. This includes prioritizing upcoming opportunities and identifying which funding opportunity matches the right program for the right idea.

  • Provide support to department managers in supervising all staff, from scheduling, assigning, and reviewing work, to ensuring effective teamwork, high standards of work quality and organizational performance, continuous learning and the delivery of effective case management, employment, and development initiatives.

  • Document service levels, including developing reporting frameworks and administrative processes, develop, administer, and monitor assigned budgets, and control expenditures.

  • In collaboration with the Manager, Program Design, support the design of new program models through coordination of concept papers and proposals that draw from the Skills for Change approach, research, and best practice to meet strategy goals and the needs of partners and community

  • Develop related budget models and plans that meet the needs of new programs with an eye towards sustainability.

  • Project Manage the various program design and research activities of the department in coordination with the various internal and external teams to further the department goals

  • Continually work at building and maintaining smooth communication amongst all the team members

  • Perform research into new opportunities and partners, support landscape analyses and collaborate with key internal and external experts necessary to inform program design with the support of the Managers and Supervisors in the team

  • Coordinate and edit proposal input from a variety of stakeholders, typically involving contributions from program managers and finance

  • Ensure successful project design and implementation planning for new partnerships, with an eye towards ensuring a process of broad input and collaborative decision-making

  • Supervise associates within the department using performance management tools that achieve departmental goals and strategic outcomes

Requirements and Qualifications:

  • At least three (3) years of experience working in non-profit, philanthropy or in government in a similar role is required

  • Bachelor's degree in a related field is required. Project Management certificate would be considered an asset

  • Familiarity and experience of working with Project Management Tools

  • A clear vulnerable sector check is required
